Version 1.0 – JUNE 2024
1. Welcome
Welcome to CT Martial Arts.
Our mission is to provide high-quality martial arts instruction in a safe, welcoming and professional environment where every student has the opportunity to develop confidence, discipline, respect, resilience and lifelong fitness.
Martial arts is more than learning techniques. It is about personal growth, character development and becoming the best version of yourself. Every student progresses at their own pace, and we are committed to supporting each individual throughout their journey.
To ensure fairness, consistency and the smooth operation of the club, all memberships are subject to the following Terms and Conditions. These terms form part of your membership agreement with CT Martial Arts and apply to all members, parents and guardians where applicable.
By joining CT Martial Arts, you confirm that you have read, understood and agree to these Terms and Conditions.
-
2.1 Membership
Membership with CT Martial Arts provides access to professional martial arts instruction and participation in classes appropriate to the member's age, grade and ability.
Membership is continuous unless cancelled in accordance with these Terms and Conditions.
2.2 Annual Membership Fee
CT Martial Arts memberships are based on an annual tuition fee, which is divided into 12 equal monthly payments for convenience and affordability.
Monthly payments are not calculated based on the number of classes attended in any given month and do not represent payment for individual lessons.
Membership reserves your place within the club and contributes towards the year-round operation of CT Martial Arts, including venue hire, instructor costs, insurance, equipment, administration and ongoing investment in the club.
2.3 Monthly Payments
Membership fees are collected by Direct Debit through GoCardless.
Payments are collected on the agreed monthly collection date.
If a payment fails, GoCardless will automatically attempt to collect the payment again in accordance with their retry process.
Members are responsible for ensuring sufficient funds are available and that their payment details remain up to date.
2.4 Membership Benefits
Membership fees are calculated on the basis of attendance at one class per week.
As an additional membership benefit, members may attend any other CT Martial Arts classes that are appropriate to their age and grade at no additional cost, subject to class capacity and instructor approval.
This additional benefit may be amended or withdrawn by CT Martial Arts where reasonably necessary.
2.5 Membership Place
Your membership reserves your place within CT Martial Arts regardless of weekly attendance.
Monthly payments continue during holidays, school breaks, bank holidays, illness, work commitments, travel and other periods of non-attendance unless CT Martial Arts has agreed otherwise in writing.
2.6 Membership Suspension
Memberships are not normally suspended or paused.
Requests for a temporary suspension will only be considered in exceptional circumstances, such as a long-term medical condition or serious injury preventing participation.
Any suspension is entirely at the discretion of CT Martial Arts and may require supporting evidence.
2.7 Membership Changes
CT Martial Arts reserves the right to amend membership fees, membership options or membership benefits.
Members will receive a minimum of three months' written notice of any increase to membership fees.
-
3.1 Payment Method
Membership fees are payable by Direct Debit through GoCardless unless otherwise agreed in writing by CT Martial Arts.
Payments are collected on the agreed monthly payment date.
3.2 Failed Payments
If a payment is unsuccessful, GoCardless will automatically attempt to collect the payment again in accordance with its standard retry process.
If payment remains outstanding after the retry attempt, CT Martial Arts may contact you to arrange payment and request that any outstanding balance is settled promptly.
3.3 Overdue Accounts
Where membership fees remain unpaid, CT Martial Arts reserves the right to suspend participation in classes until the account has been brought up to date.
Suspension from training does not remove the obligation to pay any outstanding membership fees due under this agreement.
3.4 Cancellation of Direct Debit
Cancelling your Direct Debit instruction does not cancel your membership.
Membership may only be cancelled by providing written notice in accordance with Section 6 (Cancellation of Membership).
Any membership fees falling due during the required notice period remain payable.
3.5 Payment Responsibility
It is the member's (or parent/guardian's) responsibility to ensure:
Sufficient funds are available for collection.
Bank details remain current and accurate.
CT Martial Arts is notified promptly of any changes that may affect payment.
3.6 Outstanding Balances
CT Martial Arts reserves the right to recover any outstanding membership fees or other monies owed under this agreement using appropriate and lawful means.
Reasonable administration costs arising from unpaid or cancelled payments may be added where permitted by law.
3.7 Fee Reviews
Membership fees are reviewed periodically to ensure the continued delivery of high-quality coaching and facilities.
Where membership fees increase, members will receive a minimum of three months' written notice before the revised fee takes effect.
3.8. Refunds
Membership fees, joining fees, and grading fees are non-refundable except where required by law or where CT Martial Arts agrees otherwise at its sole discretion. -

Members should attend the class most appropriate to their age, grade and ability, as advised by their instructor.
Students are encouraged to attend regularly to achieve the best possible progress and development.
4.2 Arrival
Members should arrive approximately five minutes before the start of each class. This allows sufficient time to register, prepare for training and ensure classes begin promptly.
Students arriving late may still be permitted to join the class at the instructor's discretion. Where appropriate, instructors may require late arrivals to complete a short warm-up or conditioning exercise before joining the class to ensure they are physically prepared to train safely.
4.3 Missed Classes
Membership fees are not based on attendance and no refunds, credits or reductions will be given for missed classes, regardless of the reason.
This includes, but is not limited to:
Holidays
Travel
School trips
Illness
Work commitments
Family commitments
Other personal circumstances
4.4 Additional Training
As part of their membership, students are welcome to attend any other suitable CT Martial Arts classes appropriate to their age and grade, subject to instructor approval and class availability.
This additional training benefit may be used to increase training frequency or to make up for missed sessions where practical. While every effort will be made to accommodate members, CT Martial Arts cannot guarantee the availability of specific classes.
4.5 Long-Term Absence
Requests for a temporary suspension of membership will only be considered in exceptional circumstances, such as a serious long-term illness or injury that prevents participation.
Any suspension is entirely at the discretion of CT Martial Arts and may require appropriate supporting evidence.
4.6 Instructor Decisions
Instructors reserve the right to refuse participation in any class where they believe it would be unsafe or unsuitable for a member to train due to illness, injury, behaviour or any other reasonable concern.
-

Membership may be cancelled at any time by providing a minimum of 30 days' written notice.
Notice must be submitted by email to office@ct-martialarts.co.uk.
The 30-day notice period begins from the date written notice is received by CT Martial Arts.
5.2 Payments During the Notice Period
Membership fees remain payable throughout the notice period.
Members may continue to attend classes and enjoy all membership benefits until their membership officially ends, provided their account remains up to date.
5.3 Direct Debit
Cancelling a Direct Debit instruction with your bank does not cancel your membership.
Membership will only be cancelled once the required written notice has been received by CT Martial Arts.
Any payments that fall due during the notice period remain payable.
5.4 Outstanding Balances
Any outstanding membership fees, grading fees or other monies owed to CT Martial Arts must be paid before membership can be concluded in good standing.
CT Martial Arts reserves the right to recover outstanding sums using lawful and appropriate means where necessary.
5.5 Rejoining the Club
Former members are always welcome to return to CT Martial Arts, subject to class availability.
Returning members may be required to complete a new registration form, accept the current Terms & Conditions and pay any applicable joining or membership fees in place at the time of rejoining.
5.6 Cancellation by CT Martial Arts
CT Martial Arts reserves the right to suspend or terminate a membership with immediate effect where a member or parent:
Seriously or repeatedly breaches these Terms & Conditions.
Behaves in a manner that is abusive, threatening, intimidating or discriminatory towards instructors, volunteers, staff or other members.
Repeatedly disrupts classes or refuses to follow reasonable instructor instructions.

5.7 Refunds
Membership fees are non-refundable except where required by law or where CT Martial Arts, at its sole discretion, agrees otherwise.
Joining fees, grading fees and event fees are also non-refundable unless CT Martial Arts or the event organiser confirms otherwise.

Members, parents and spectators are expected to respect each venue's rules and leave facilities clean and tidy after use.
-
7.1 Student Progress
At CT Martial Arts, we believe every student progresses at their own pace.
Progression is based on a combination of attendance, effort, attitude, technical ability, knowledge, application and readiness, as assessed by the instructor.
While many students are invited to grade approximately every four to five months, this is an average timescale only and is not guaranteed.
7.2 Grading by Invitation
Gradings are by invitation only.
Students will only be invited to grade when their instructor believes they have reached the required standard for their next grade.
The instructor's decision regarding grading readiness is final.
7.3 Grading Registration
Students who receive a grading invitation must register and pay the published grading fee by the stated closing date.
If a student does not register and pay by the deadline, it will be assumed they have chosen not to participate in that grading and they will be considered for a future grading when appropriate.
7.4 Grading Fees
Grading fees cover the administration and delivery of the grading together with any certificates, belts or awards applicable to the grade being attempted.
Grading fees are non-refundable except where required by law or where CT Martial Arts agrees otherwise at its sole discretion.
7.5 Passing a Grading
Payment of a grading fee does not guarantee promotion.
Students must demonstrate the required technical standard, knowledge, attitude and effort appropriate to their grade.
Where the required standard has not yet been achieved, instructors may defer promotion and provide guidance on the areas requiring further development.
7.6 Uniform & Equipment
Students must wear the correct CT Martial Arts uniform when attending a grading unless otherwise authorised by the Chief Instructor.
Students who arrive without the required uniform or equipment may be refused entry to the grading.
7.7 Instructor Authority
The grading panel's decision is final.
The grading panel reserves the right to:
Pass or defer a student.
Award a grade.
Withhold a grade where the required standard has not been demonstrated.
Decline to assess a student where safety, behaviour or eligibility is a concern.
7.8 Certificates & Belts
Certificates and belts will normally be presented following a successful grading.
CT Martial Arts reserves the right to delay the presentation of certificates or belts where outstanding membership fees or grading fees remain unpaid.
-

Members must notify CT Martial Arts as soon as reasonably practicable of any change to their medical condition, injury, medication or any other circumstance that may affect their ability to train safely.
8.3 Fitness to Participate
By attending classes, members confirm that they are fit to participate in martial arts training or have obtained appropriate medical advice confirming that participation is suitable.
If a member is feeling unwell, has a contagious illness, or has an injury that may place themselves or others at risk, they should not attend class until it is safe to do so.
8.4 Instructor Authority
Instructors reserve the right to refuse or restrict participation where they reasonably believe that training may present a risk to the member or to others.
This decision is made solely in the interests of safety and the wellbeing of all participants.

Where appropriate, CT Martial Arts will record the incident in its accident reporting procedures.

Where emergency medical treatment is considered necessary, CT Martial Arts may contact the emergency services and, where practicable, notify the member's emergency contact as soon as possible.
8.7 Personal Responsibility
Martial arts is a physical activity requiring effort, coordination and physical contact.
Members are expected to train within their own capabilities, follow instructor guidance and immediately inform an instructor if they experience pain, dizziness, illness or any other condition that may affect their safety.
8.8 Safety Equipment
Members must wear any protective equipment specified by the instructor for the activity being undertaken.
Failure to wear the required protective equipment may result in the member being unable to participate in that activity.

Children should be collected promptly at the end of their class unless alternative arrangements have been agreed with CT Martial Arts.

9.5 Photography and Video Recording
Parents and guardians may take photographs or video recordings of their own child before or after class, or during class where permitted by the instructor.

CT Martial Arts reserves the right to restrict photography or filming at any class, grading or event where necessary for safeguarding, privacy or operational reasons.
9.6 Media Consent
CT Martial Arts may occasionally take photographs or videos for promotional, educational or club purposes.
Media will only be used where the appropriate consent has been provided by the member or, for junior members, their parent or guardian.
Members who have not provided media consent will not knowingly be included in promotional photography or video. CT Martial Arts will take all reasonable steps to respect these preferences.
9.7 Respectful Conduct
Parents, guardians and spectators are expected to behave respectfully towards instructors, volunteers, staff, members and other families at all times.
Abusive, threatening, intimidating or disruptive behaviour will not be tolerated and may result in the individual being asked to leave the venue or, in serious or repeated cases, the suspension or termination of the associated membership.
9.8 Communication with Instructors
Our instructors' primary responsibility is the safety and supervision of students during class. For this reason, instructors may not be able to discuss individual progress or concerns immediately before, during or after a session. Where a longer conversation is needed, parents are encouraged to arrange a suitable time by contacting the club office. -
10.1 Participation

10.6 Instructor Decisions
For the safety and wellbeing of members, instructors reserve the right to decide whether a student is suitable to participate in a competition, event or demonstration.
Where appropriate, instructors may withdraw a student from participation if they believe it is in the student's best interests or necessary for safety reasons.
10.7 Personal Responsibility
Members participate in competitions and events at their own risk and are expected to follow all instructions issued by event organisers, referees and CT Martial Arts instructors.
Members must wear any required protective equipment and comply with the rules applicable to the event.
